How Clasero helps you get started
You do not have to set up Clasero alone.
Upon request, Clasero can assist with the initial setup and onboarding process. This can include importing existing customer data and configuring your business details, branches, services, classes, employees, teachers, payment settings, and other information needed to start using the system.
If you prefer to handle the Clasero setup yourself, Setup Mode provides a structured checklist that guides you through the essential configuration.
Whether you run an after-school programme, tutoring centre, dance school, sports academy, music school, or another education business, the idea is simple: bring the organisation you already have into Clasero and prepare it for everyday use.
What Clasero can help you set up
Most education businesses are already operating before they introduce new class management software. Students may be stored in spreadsheets, teachers may work across several locations, and classes and payment arrangements may already be established.
Clasero onboarding can help bring this existing structure into the system.
Depending on your organisation, the initial setup can cover business information, branches and premises, services and classes, employees and teachers, payment settings, company preferences, and existing customers or students.
This means you can focus first on how your organisation actually works and then reflect that structure in Clasero.
What to prepare before getting started
Having the basic information ready makes onboarding more straightforward.
Before beginning your Clasero onboarding, it is useful to prepare:
- Your business details and company preferences
- Branches or teaching locations
- Rooms or premises used at each location
- Services you provide
- Existing classes or groups
- Teacher and employee information
- Current payment models
- Your existing customer or student database
Company preferences can include practical details such as currency, time zone, date and time format, and the first day of the week.
If your students are already stored in Excel or Google Sheets, keep that information ready too. Clasero supports bringing existing customer and student data into the system, so moving to dedicated after-school class management software does not mean rebuilding every record manually.
Bring your existing business structure into Clasero
Branches, services, and classes play different roles in Clasero.
A branch represents one of your locations. Within a branch, you can configure premises or rooms and the classes available there.
A service represents what your organisation provides and can include the relevant payment structure. Individual classes can then be linked to that service.
For example, imagine that you offer a children's swimming programme at two locations. The swimming programme can be created as a service, while separate beginner groups can be created as classes at each branch.
This structure is particularly useful for multi-location class management because the payment setup does not have to be recreated separately for every related class. Clasero supports subscription-based and pay-as-you-go payment models, and classes linked to a service can use the payment options defined for that service.
Once this structure is configured, it becomes the foundation for scheduling students, teachers, rooms, and lessons.
Import your existing students and customers
Moving an existing customer database is often one of the most important parts of changing systems.
Clasero supports student data import from Excel or Google Sheets. Student profiles can also be created manually when needed.
The customer data table can be adapted to match the information you already maintain. Fields can be enabled or disabled, and columns can be rearranged to better suit your existing data structure.
Before importing, it is worth reviewing your records so that the information you bring into Clasero is current and organised.
Upon request, Clasero can also assist with importing existing customer data as part of the initial onboarding process.
Once students are in the system, they can be assigned to the appropriate classes and connected with the relevant service and payment arrangement.
Set up teachers and create your schedule
The next part of the Clasero setup is preparing your team and timetable.
Teacher profiles can be connected to user accounts, while access rights can be adjusted according to each person's responsibilities. For example, a teacher can have permission to manage lessons or have view-only access, while financial information can be made available to the appropriate staff.
Teacher availability can also be entered. When a lesson is being scheduled, Clasero can alert you if the selected teacher is unavailable at that time.
Once the main structure is ready, you can start building the timetable.
Clasero's lesson planner connects the branch or location, class, teacher, room, and lesson time in one event. Recurring lessons can be created by setting start and end dates together with the repetition frequency.
That makes the transition from initial setup to everyday class scheduling straightforward, especially for programmes that run weekly throughout a term or season.
Teachers can also connect their schedule to external calendar applications that support iCal.
What your first normal day in Clasero looks like
The purpose of onboarding is not simply to fill the system with information. It is to prepare Clasero for normal daily work.
An administrator or business owner can start the day by viewing the company-wide schedule and checking which lessons are planned, ongoing, or completed.
The teacher sees the lessons assigned to them and opens the relevant lesson profile.
Before or during the class, the teacher can review notes from the previous session. Those notes can work as a class journal and help the teacher remember what was covered and what should come next.
During the lesson, the teacher records which students attended and can add comments to individual visits.
This puts attendance management directly into the lesson workflow instead of keeping attendance, schedules, and teacher notes in separate places.
Administrators can also use the dashboard to follow lesson activity and attendance across the organisation.
Parents get their own view through my.clasero.com
Clasero also provides a separate online portal for students and parents at my.clasero.com.
Parents can view relevant lesson schedules, including upcoming and past lessons, as well as attendance information. They can also see invoices and payment status.
If a child is sick, will miss a class, or expects to arrive late, a parent can leave an attendance-related note for the teacher through the lesson information.
This gives parents a direct place to check important information while teachers and administrators continue managing the organisation through Clasero.
